Activities:
• Coordinate daily administrative activities and ensure smooth workflows within the central
unit
• Manage correspondence, calendars, appointments, meetings, and travel arrangements
• Prepare documents, presentations, reports, minutes, and structured written
communication
• Support managers and team members in organisational, administrative, and coordination
tasks
• Maintain filing systems, documentation structures, and archiving in both digital and
physical formats
• Handle incoming calls, enquiries, and communication with internal and external
stakeholders
• Assist in onboarding processes and personnel-related administrative procedures
• Process invoices, purchase orders, requisitions, and basic commercial documentation
• Ensure availability, organisation, and maintenance of office supplies, equipment, and
shared resources
• Contribute to improving, standardising, and digitalising administrative processes and
workflows
• Monitor deadlines, prioritise tasks independently, and ensure timely completion of
administrative responsibilities
• Act as a central communication and coordination point within the department and across
interfaces
Requirements:
• Completed commercial or administrative vocational training
• Experience in office management, administration, coordination, or assistant functions
• Strong organisational, planning, and multitasking skills with a structured working
approach
• Excellent communication skills and a professional, service-oriented appearance
• Confident use of office software, digital tools, and administrative systems
• High accuracy, reliability, and ability to work independently with clear responsibility
